- Contact and account information, such as your name, email address, telephone number, and login details.
- Booking and transaction information, including appointment type, scheduling history, purchases, payment status, and shipping information when needed.
- Information you choose to share in forms or conversations, including wellness goals, allergies, medications, accessibility needs, and product feedback.
- Basic website information collected through cookies or similar technology, such as browser type, pages visited, and site interactions.
How information is used
Information may be used to provide and improve services, communicate about bookings or orders, maintain safety and business records, prevent fraud, comply with legal obligations, and respond to requests or concerns. House Sapphodora does not sell personal information.
Service providers
The website, scheduling, payment, email, and delivery functions may be supported by third-party providers such as Squarespace, Setmore, payment processors, and shipping carriers. Those providers process information under their own terms and privacy practices. Information may also be disclosed when required by law or reasonably necessary to protect a person from harm.
Sensitive information
Please do not send complete medical records, detailed trauma histories, Social Security numbers, or other unnecessary sensitive information through an ordinary booking form, text message, social-media message, or email. Booking & Client Care Policy

Scope of appointments
Appointments offer personalized wellness education, compassionate guidance, resource navigation, and discussion of herbal or holistic options. They do not replace care from a licensed physician, pharmacist, mental-health professional, or emergency service. House Sapphodora does not diagnose conditions, prescribe medication, or guarantee outcomes.
Emergencies
Appointments are not appropriate for medical or mental-health emergencies. If you may be in immediate danger or need urgent treatment, contact emergency services or seek urgent medical care.
Rescheduling and cancellation
Please reschedule or cancel at least 24 hours before your appointment whenever possible. Paid appointments cancelled with at least 24 hours’ notice may be refunded or credited toward a future appointment. A late cancellation may be moved once at House Sapphodora’s discretion. Repeated late cancellations or missed appointments may require prepayment.
Late arrivals and missed appointments
A late appointment may still end at its original time. Arrivals more than 15 minutes late may need to be rescheduled. Complimentary appointments have no cash value. Missing a complimentary appointment without notice may mean a future appointment must be paid. Paid no-shows are generally nonrefundable, although genuine emergencies will be considered with compassion.
Payments and refunds
Any price and payment timing will be shown before confirmation. Refunds for products are governed by the applicable product or shop policy. Appointment fees compensate time reserved and work already performed; they do not purchase or guarantee a particular health result.
Safety, respect, and accessibility
Please provide accurate information when allergies, pregnancy or breastfeeding, medications, supplements, diagnoses, or current care may affect safety. House Sapphodora is an affirming space. Harassment, discrimination, threats, or unsafe conduct may end an appointment. Please share accessibility or communication needs so reasonable accommodations can be explored.
Age requirement
Appointments are intended for adults 18 and older unless House Sapphodora agrees in writing to a different arrangement involving a parent or legal guardian.
By confirming an appointment, you acknowledge that you have reviewed and accepted this policy.

Education, not medical care
Information from House Sapphodora—including appointments, website content, social-media posts, printed materials, and product education—is offered for general educational and wellness purposes. It is not medical diagnosis, treatment, prescribing, psychotherapy, or a replacement for care from a qualified professional.
Individual responses vary
Herbs, supplements, foods, topical preparations, and wellness practices can affect people differently. “Natural” does not mean risk-free. Allergies, side effects, contamination, medication interactions, and pregnancy or breastfeeding concerns are possible. No result is promised or guaranteed.
Use products carefully
Read labels and instructions before use. Do not exceed stated directions. Keep products away from children and animals unless specifically intended for them. Stop use and seek appropriate help if a concerning reaction occurs. Discuss herbs and supplements with a physician or pharmacist when you take medication, have a medical condition, are pregnant or breastfeeding, or are preparing for a procedure.
External information
Links and referrals to external professionals, organizations, research, or resources are offered for convenience and do not guarantee their availability, quality, accuracy, or outcome. House Sapphodora is not responsible for an external provider’s services or privacy practices.
Emergency limitation
House Sapphodora does not monitor messages continuously and cannot provide emergency response. For urgent symptoms or immediate danger, contact emergency services or seek urgent professional care.

Mission
Where care comes closer
No one deserves to heal alone.
House Sapphodora exists to make compassionate, practical wellness support feel more human and more reachable. We meet people without shame, listen before suggesting, explain without patronizing, and help each client find the safest next step—whether that is a gentle home practice, an herbal option, a community resource, or professional medical care.
We are building a community apothecary rooted in informed consent, sustainability, accessibility, cultural humility, and the belief that care should never require someone to surrender their dignity.
Our commitments
- Honesty before sales.
- Consent before assumption.
- Safety before certainty.
- Education without fear or superiority.
- Low-waste practices and a growing conservationist program.
- No subscription pressure, manipulative urgency, or needless spam.
- Listening, learning, repairing, and growing when we fall short.

About House Sapphodora
An independent community apothecary
House Sapphodora Apothecary is a woman-owned, Black-owned, queer-owned, and veteran-owned small business being built around personalized guidance, thoughtful herbal goods, practical education, and resource connection.
The apothecary is not designed as a wall of products waiting to be sold. Its center is relationship: listening to what a person needs, being honest about what may help, recognizing what is outside our scope, and making the next step feel less lonely.
Offerings may include one-to-one wellness appointments, custom or small-batch herbal goods, educational materials, workshops, and conservation-minded refill or reuse programs. Availability evolves carefully so growth does not come at the cost of client safety, product quality, or the founder’s wellbeing.
House Sapphodora is independent and is not a hospital, pharmacy, medical practice, psychotherapy practice, or emergency service.

About the Founder
Coven, founder & community apothecary
Coven founded House Sapphodora from a simple conviction: people deserve guidance that is compassionate, honest, and close enough to reach.
Her perspective is shaped by experience in care-centered work, continued learning, lived experience, and a deep respect for both traditional plant knowledge and evidence-informed medicine. She believes holistic care is strongest when it knows its limits, welcomes questions, and works alongside—not against—appropriate professional healthcare.
Coven is building the kind of space she has often needed herself: affirming without performance, knowledgeable without arrogance, protective without paternalism, and always willing to keep learning.
She is not presenting herself as a physician, pharmacist, or licensed mental-health professional. Her role is to listen, educate, help clients think through options, create carefully considered offerings within scope, and recognize when the safest act of care is a referral.
